Warehouses

Warehouses are the places where you keep stock: a warehouse, a shop, a van. Each warehouse can be divided into locations (zones, aisles, racks, shelves and bins) so you know exactly where items are. Every stock quantity in Modulix belongs to a location in a warehouse.

Before you begin

  • The Inventory module must be enabled. It requires the Product Catalog.
  • Anyone with inventory.stock.read can see warehouses and locations. Creating, editing and deleting them needs inventory.manage. See Permissions.

Key concepts

Default warehouse. The first warehouse you create becomes the organization's default warehouse. Stock goes there whenever no other place is chosen: stock receipts and issues without a warehouse, purchase orders with an empty Deliver to, and sales orders without a warehouse. There is always exactly one default warehouse once you have one.

Locations. Each warehouse starts with one location, STOCK (named Stock), which is its Default location. Stock that arrives at a warehouse without a specific location goes there. You can add more locations and nest them: a zone that contains aisles, aisles that contain racks, and so on.

Location types. Zone, Aisle, Rack, Shelf and Bin. Types are labels to help you organize; any location can be inside any other location of the same warehouse.

├── STOCK (default location)
└── A (Zone)
├── A-01 (Aisle)
│ ├── A-01-R1 (Rack)

Open the warehouse list

  1. Select Inventory in the main menu.
  2. Select the Warehouses tab.
Warehouses, with the default one marked.

The list shows each warehouse's Name (with a Default badge for the default warehouse and Inactive for inactive ones), Code, City, Country and number of Locations. Search with Search warehouses, and filter by Status (Active or Inactive).

Create a warehouse

  1. On the Warehouses tab, select New warehouse.

  2. Fill in the form:

    FieldWhat it is
CodeRequired. Unique. Stored in upper case, with spaces turned into dashes. Letters, digits and - _ . only.
NameRequired. For example Toronto warehouse or Delivery van 2.
Address, City, Region, Postal code, CountryWhere the warehouse is.
ActiveInactive warehouses cannot receive or ship stock.
    NotesFree text.
  3. Select Save. The warehouse page opens, with its STOCK location already created.

The warehouse page

A warehouse and its locations.
  • Header: the name, code, Default and Inactive badges, and the actions Make default, Edit and delete.
  • Details: code, address, Default location, active and notes.
  • Locations: every location of the warehouse with its Code, Name, Type and Inside (its parent location). The default location is marked Default.
  • Sections from other modules, such as custom fields and documents.

To see the stock held in a warehouse, use the Stock tab and filter by Warehouse. See Stock tracking.

Add locations

  1. Open the warehouse.

  2. In Locations, select New location.

  3. Fill in:

    FieldWhat it is
CodeRequired. Unique within this warehouse. Stored in upper case. Letters, digits and - _ . / only, for example A-01/R2.
NameOptional description, for example Cold room.
InsideThe parent location, if this one is inside another. Must be in the same warehouse.
TypeZone, Aisle, Rack, Shelf or Bin (default Bin).
ActiveInactive locations cannot be chosen for new stock movements.
  4. Select Save.

To change a location, select its edit button in the table. A location cannot be placed inside itself or inside one of its own sub-locations.

Change the default warehouse

  1. Open the warehouse that should become the default. It must be active.
  2. Select Make default.

The Default badge moves to this warehouse. From now on, stock with no other place chosen goes here.

Deactivate or delete warehouses and locations

Deactivate a warehouse or location to stop using it while keeping its history: select Edit (or the location's edit button) and clear Active.

Delete a warehouse with the delete button on its page; its locations are deleted with it. Delete a location from its edit dialog.

These rules protect your stock history:

  • The default warehouse cannot be made inactive or deleted. Make another warehouse the default first.
  • A warehouse's default location cannot be made inactive or deleted.
  • A location that has other locations inside it cannot be deleted. Delete or move the locations inside it first.
  • Warehouses and locations that stock has moved through, or that are used by purchase orders, sales orders or transfers, cannot be deleted. Make them inactive instead.

How warehouses connect to other modules

WhereHow the warehouse is used
Stock trackingStock is held per location. Receipts, issues and adjustments happen at a warehouse and, optionally, a location.
Stock transfersMove stock between warehouses, or between locations of one warehouse.
Purchase ordersDeliver to decides which warehouse received goods go to (its default location).
Sales ordersThe order's warehouse is where stock is reserved and shipped from.

Tips

  • Keep codes short and meaningful (TOR, VAN-2, A-01-R1): they appear in stock lists, movement history and error messages such as Only 4 ea of Widget on hand at A-01.
  • You do not need locations to start. Everything works with each warehouse's STOCK location; add zones and bins when you need to know where items sit.
