Search and the command palette

Modulix has two ways to find things. The command palette searches across every module at once and also takes you to any page or action. Inside a module, each list has its own search box, filters and saved views to narrow down its records.

Open the command palette

Do one of the following:

  • Press Ctrl+K (⌘K on a Mac) from any page.
  • Select the Search… box in the top bar.

The palette opens with the prompt Type a command or search…. Press the same shortcut again, or Esc, to close it.

Search for records

  1. Open the command palette.
  2. Type at least 2 characters of what you are looking for, for example part of a person's or a company's name, or a document number.
  3. Results appear grouped by record type (for example Contact, Company, Lead, Invoice), up to 5 per type.
  4. Use the arrow keys and press Enter, or select a result with the mouse. The record opens.
Searching across modules from the command palette.

The search only looks in modules that are enabled for your organization, and only returns records you are allowed to see. If your role lets you see only your own records, or your team's, the search follows the same rule. While Modulix searches, the palette shows Searching…. If nothing matches, it shows No results found.

Go to a page or run an action

The palette also lists, below any search results:

  • Navigate: every page in your sidebar. Type part of its name, for example users or banking, and press Enter.
  • Actions: shortcuts added by modules, such as Add a contact, New quotation, Add a task, Create a note, New journal entry or Notification settings. You only see the actions of enabled modules that your permissions allow.

The palette filters these entries as you type, so you rarely need more than a few letters.

Find records in a list

Most module pages open on a list of records, with the same tools above the list.

ToolWhat it does
Search… boxShows only the records that contain the text you type.
Quick filtersDrop-down lists for the most common fields, for example a status. Choose Field: any to clear one.
FilterBuilds detailed conditions on any field. See below.
Sort byOrders the list by a field, or by Created or Updated. The arrow button next to it switches between Ascending and Descending. Default order restores the module's order.
ColumnsUnder Show columns, chooses which columns the list shows. Reset brings back the default columns.
ViewsSaves and reopens combinations of search, filters, sort and columns.
Import and ExportBring records in from a file, or download the list. See Import and export.

Below the list, Modulix shows how many records match (for example 42 records) and, on long lists, Page 2 of 5 with buttons to move between pages. If nothing matches, the list says Nothing matches the search and filters. Select Clear search and filters to start again.

Build a filter

  1. Above the list, select Filter.
  2. Select Add a condition.
  3. Choose the field, the comparison and the value. For example: Status is any of Qualified.
  4. Add more conditions if you need them (up to 20).
  5. Under Match, choose All conditions (every condition must be true) or Any condition (at least one must be true).
  6. Select Apply.

To remove one condition, select Remove this condition (the button at the end of its row). To remove them all, select Clear.

The comparisons depend on the type of field:

Field typeComparisons
Short text (names, codes)contains, does not contain, is, is not, starts with, is empty, is not empty
Long textcontains, does not contain, is empty, is not empty
Number and amountis, is not, is greater than, is at least, is less than, is at most, is between, is empty, is not empty
Dateis on, is after, is on or after, is before, is on or before, is between, is empty, is not empty
Yes/nois yes, is no
Choice and listis any of, is none of, is empty, is not empty

For is between, enter a From and a To value. For choices, select Choose values and tick the values you want.

Save a view

A view keeps the list's current search, filters, sort and columns, so you can come back to them in one click.

  1. Set up the list the way you want it.
  2. Open the Views menu at the top left of the list. It shows All records, or the name of the view you are using.
  3. Select Save as new view….
  4. Enter a Name, for example My key accounts.
  5. To let colleagues use the view, turn on Share with everyone. Everyone who can see these records can then use it.
  6. Select Save.
Personal and shared views of a list.

The Views menu lists your views under My views and those shared with you under Shared views. Select a view to apply it, or All records to go back to the full list.

When you change the filters or columns of a view you opened, the menu shows that it was Modified. You can then:

  • select Update “view name” to save the changes into the view;
  • select Save as new view… to keep both;
  • select Rename or share… to change the name or the sharing;
  • select Delete view… to delete it. Deleting a view never deletes records.

:::note Permissions Sharing a view needs the Share saved views with everyone permission (core.views.share), which administrators have by default. People without it can still save private views. You can change or delete your own views; people who can share views can also change or delete shared views of others. :::

Tips

  • In the palette, start typing straight away: page names, actions and records all appear in the same list.
  • A shared view is a simple way to give your team the same working list, for example "Open quotations over 10,000".
  • Global search matches the names and numbers of records. To search other fields, open the module's list and use its search box or a filter.
