Banking

The Banking module connects your bank statements to the books. Each bank account sits on a ledger account; you import its statements, match each statement line to what the books already hold (or settle a bill, an expense claim or a tax return with it), reconcile the account with the bank's closing balance, and record transfers between your accounts.

Before you begin

  • Banking needs the Accounting module. Each bank account must sit on an Asset ledger account that takes entries, such as 1020 Bank account in the starting chart. Add more ledger accounts in the chart of accounts if you have several bank accounts.
  • Open the module from Banking in the main menu (/m/banking), or search the command palette for Open banking.
  • You need banking.write to import and match, and banking.manage to set up accounts and reconcile. See Permissions.

The page has two tabs: Accounts and Transfers.

Key concepts

TermMeaning
Statement lineA transaction as the bank reports it: a date, an amount (positive for money in, negative for money out), a description and a reference. Statement lines are never changed, except their notes.
Statement balanceThe account's opening balance plus all its statement lines.
Books balanceThe balance of the account's ledger account.
MatchingLinking a statement line to a posted line of the bank's ledger account, so you know the books and the bank agree on it.
ReconciliationConfirming, for a statement's closing date, that the matched lines add up to the bank's closing balance.

Statement line statuses

StatusMeaning
UnmatchedNot yet linked to the books.
MatchedLinked to a posted line in the books. Can be unmatched.
ReconciledPart of a completed reconciliation. Stays matched for good and cannot be deleted.

Set up a bank account

  1. On the Accounts tab, select New bank account.

  2. Fill in the fields:

    FieldNotes
    NameRequired, for example "Operating account".
Ledger accountRequired. An asset account that takes entries, not used by another bank account.
    CurrencyDefaults to your organization's currency.
    BankThe bank's name.
    Account number (IBAN)Optional.
Opening balance and Opening dateThe bank's balance when you start using Modulix for this account. Reconciliation starts from it.
ActiveTurn off for accounts you no longer use.
  3. Save.

The Accounts list shows each account's ledger account, bank, Statement balance, Books balance, the number of lines To match and the date it is Reconciled up to.

An account with statement lines cannot be deleted: make it inactive instead.

Import a statement

  1. Open the bank account. The Statement balance tab is shown.
  2. Select Import a statement.
  3. Choose the Statement file: a CSV file, or an OFX or QFX file from your online banking.
  4. For CSV files with days like 03/04/2026, choose under Days like 03/04/2026 whether they are Day first or Month first. If a day above 12 shows the order, Modulix works it out on its own.
  5. Select Import.

A message tells you how many lines were added, how many were already there and how many were matched.

Importing a CSV or OFX statement.

What a CSV file needs

  • A header row, then one transaction per row.
  • A date column and either a signed amount column or separate debit and credit columns. A description and a reference column are used when present.
  • Headers are recognized in English, French, German and Spanish, for example Date, Booking date, Description, Payee, Amount, Debit, Credit, Withdrawals, Deposits, Reference, Datum, Betrag, Montant, Importe.
  • Amounts can be written 1,234.56 or 1.234,56, with a minus sign, a trailing minus or in parentheses. Dates can be 2026-10-19, 19/10/2026, 10/19/2026, 19.10.26 or 20261019.

Rows that cannot be read are reported with their line number.

Duplicates and automatic matches

You can import overlapping statements safely. A line is skipped when it is already there: the same OFX transaction id, or the same day, amount, description and reference.

A new line is matched on import when exactly one posted line of the bank's ledger account has the same amount within three days. Everything else stays Unmatched for you to review.

Add a line by hand

To record a transaction without a file, select Add a line and enter its Date, Amount (negative for money out), Description, Reference and Notes.

Match a statement line

On the bank account's Statement balance tab, select Match next to an unmatched line. The dialog offers three ways to account for it.

Matching a statement line: to the books, to a document, or to an account.

In the books

In the books lists posted lines of this bank's ledger account with the same amount, within 15 days of the statement line and not matched yet, closest dates first. Select Match next to the right one.

Use this for money the books already show as moving through the bank, for example:

  • customer payments recorded in Sales, which are posted to the Bank account;
  • supplier payments recorded in Payables;
  • expense reimbursements and tax payments recorded in their modules;
  • transfers and manual journal entries.

If nothing fits, the dialog says Nothing in the books has this amount near this day.

Documents to settle

For money that has not been recorded anywhere yet, Documents to settle lists open documents that other modules can pay (or receive) through this bank account, in its currency. Documents with exactly the statement line's amount are listed first. Select Settle next to one:

DocumentShown forWhat Settle does
Approved vendor bill with a balanceMoney outRecords a supplier payment of the line's amount from this bank account, applied to the bill. See Accounts payable.
Approved expense claim not fully reimbursedMoney outRecords a reimbursement of the line's amount from this bank account. See Expenses.
Filed tax returnMoney out when tax is owed; money in when a refund is dueRecords the return's payment or refund from this bank account. The amount must equal the return's net tax. See Tax management.

The payment is posted to the books and the statement line is matched to it in one step.

Book to an account

For bank fees, interest, or anything else that only appears on the statement, choose an Account and select Book to an account. Modulix posts an entry between the bank's ledger account and the chosen account on the statement line's date, and matches the line. Amounts in another currency are converted at the exchange rate of that date.

Unmatch

Select Unmatch next to a matched line to make it unmatched again. If the line was booked to an account, that entry is reversed (dated today). Payments created by Settle stay; delete or cancel them in their own module if they were wrong. Reconciled lines cannot be unmatched.

Reconcile an account

Reconcile each bank account against the closing balance on your bank statement, typically every month.

  1. Match every statement line up to the statement's closing date.

  2. Open the bank account and select the Reconcile tab.

  3. Enter the Statement date (the statement's closing date) and the Statement balance (its closing balance).

  4. Review the summary:

    LineMeaning
Last reconciled balanceThe balance at the previous reconciliation, or the opening balance.
Cleared transactionsThe number and total of matched lines up to the statement date.
Cleared balanceLast reconciled balance plus cleared transactions.
    Statement balanceWhat you entered.
DifferenceStatement balance less cleared balance. Must be zero.
Books balanceThe ledger account's balance, for information.
To match firstUnmatched lines up to the statement date. Must be none.
  5. When the difference is zero and nothing is left to match, select Reconcile.

The cleared lines become Reconciled, and the account records the date it is Reconciled up to and its Reconciled balance. The next reconciliation must use a later date. Past reconciliations are listed under Reconciliations.

Reconciling an account: the difference must be zero before you can reconcile.
tip

A difference usually means a line is missing (import the statement again, or add it by hand) or a line was matched to the wrong entry (unmatch it and match it again). Close the month's fiscal period once every bank account is reconciled.

Transfer between accounts

Record money you move between two of your bank accounts.

  1. On the Transfers tab, select New transfer.
  2. Choose the account it comes From and the account it goes To. Both must be in the same currency.
  3. Enter the Date, the Amount and an optional Reference.
  4. Save.

Modulix posts an entry debiting the receiving account's ledger account and crediting the sending one. Match each side's statement line under In the books when the statements arrive.

Transfers cannot be changed: delete the transfer and record it again. Deleting a transfer reverses its entry; if statement lines are matched to it, unmatch them first.
